Privacy notice
ClearCDM is a trading style of Robbie Thompson Design Ltd (Co. No. 10355527), which is the controller of the personal information handled through this site and the service. The company is registered with the Information Commissioner's Office under registration reference ZC231436, at 7 Barossa Place, Bristol, BS1 6SU. What we collect. When you enquire: your name, contact details and what you tell us about your project. When you use the instant quote tool: your answers about the project, your contact details and addresses, and the quote you were shown, which reaches us when you choose to send it. When we are appointed and you or your project team complete our online forms: names, companies, roles and contact details; project and site information; design risk information; files you attach, such as drawings, surveys and reports; and, on the client form, the typed and drawn signature that records acceptance of the appointment.
Why, and on what basis. To provide the principal designer service under our appointment (performance of a contract); to answer enquiries and prepare quotations (legitimate interests); and to keep the records the service properly generates, including the pre-construction information pack, the information register and the health and safety file (legitimate interests and legal obligation, since CDM 2015 requires this information to be prepared and passed on).
Who sees it. Project information is shared with the people who need it for the project: the client, the designers, the contractor and anyone properly quoting for or planning the works, through the core CDM outputs. We do not sell personal information and we do not use it for marketing.
Who processes it for us. Form and quote submissions are delivered through Google (a form backend running on Google infrastructure) and stored in Dropbox; email runs on Google Workspace; the site is served by Cloudflare. Each provider acts as a processor under its own terms. The site also uses Cloudflare Web Analytics, which counts page views without cookies and without recording who you are; it tells us which pages are read and, in general terms, where visitors arrive from.
Payments. No payment is taken through this site and we do not collect card details. Fees are invoiced after your quote is checked and confirmed, and paid by bank transfer to the account on the invoice.
Information stored in your browser. The instant quote tool saves your answers in your own browser (local storage) so you can leave and pick up where you left off on the same device. It is not shared with anyone, it is not used to track you, and choosing "Start again" in the tool removes it. You can also clear it through your browser settings at any time.
Where you arrived from. If you reach this site from a search, an advertisement or a link sent by your designer, your browser records the page you arrived on and the date, the name of the site you came from (the name only, not the full address), and any campaign or practice code carried in the link. It lets a later enquiry be traced back to whatever prompted it. Nothing is sent anywhere on its own, and it reaches us only when you choose to send us something. Two things carry it: sending your quote from the instant quote tool includes a one line summary of it with your answers, and the practice enquiry link on our page for architects adds the same summary to an email drafted in your own email program, which reaches us only if you send that email. Like the quote tool's storage, it stays in your browser and is removed when you clear this site's data in your browser settings.
How long we keep it. Project records, including the pre-construction information pack, the information register and the health and safety file, are kept for 15 years after the project ends: that is the longest period a legal claim about the works could still arise, and the period insurers expect the project file to exist. Enquiry correspondence and instant quote records that do not become an appointment are deleted after 12 months. Financial records are kept for the six years tax law requires. When a period ends, the records are deleted.
Where it is processed. Google, Dropbox and Cloudflare process some information outside the UK, mainly in the United States. Each transfer is protected by safeguards UK law recognises: the UK extension to the EU-US Data Privacy Framework where the provider is certified under it, or standard contractual clauses in the provider's terms. Your information keeps its UK legal protections wherever it is processed.
Your rights. You can ask for a copy of your personal information, ask for corrections, ask for deletion where the law allows, and object to processing based on legitimate interests. Write to [email protected]. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies. This site sets no cookies and runs no advertising or tracking. The only things stored on your device are the quote tool's saved answers and the arrival record described above, both held in your browser's own local storage.
